How we use your personal information – Exilian

This statement explains how Exilian (“we”, “us” and “our”) handles and uses the personal information we collect about our forum members and other interested persons for processes relating to our operations and activities. If you are a member of this forum, or have given data such as your email address to Exilian at any point, the following statement applies to you.

When changes are made to this statement, we will publish the updated version in our forum.

The controller for your personal information is Exilian.  The person responsible for data protection within Exilian is the Basileus, who can be contacted at exilian@exilian.co.uk.

How we use your personal information

  • Maintaining your personal details (e.g. your username and e-mail address), including ensuring effective communications with you.
  • Keeping financial records (e.g. payment of donations).

Our normal legal basis for processing your personal information is your consent, which you gave at the point you become a member of Exilian or otherwise provided us with that information, and which you can withdraw at any time, by cancelling your membership or informing us that you wish for us to remove information about you. Note that if you cancel your membership, your posts in the forum are not automatically deleted.

We keep your personal information for as long as we need it, or until you instruct us to remove it.

How we share your personal information

We may use third-party hosting facilities to store any forum data, including personal information in your member profile. We may also use third-party e-mail providers to store your e-mail address.

We may also be subject to a legal requirement (with or without your consent) to share your personal information with a government agency (such as the police or security services or other statutory authorities with investigatory powers) under special circumstances (e.g. relating to tax, crime or health and safety).  Where feasible and appropriate, we will notify you in advance if such information has been requested from us; we will only share personal information with government agencies in cases where we are legally obliged to do so.

You have the right to access the personal information that we hold about you. You also have the right to ask us to correct any inaccurate personal information we hold about you, to delete personal information, or otherwise restrict our processing, or to object to processing or communications, or to receive an electronic copy of the personal information you provided to us.
